The Right Way to Hire Safe, Reliable Drivers for Your Trucking Business

By April 16, 2025No Comments

The trucking industry is feeling the pressure from a driver shortage, and with more candidates disqualified due to drug and alcohol violations, hiring qualified drivers is more challenging than ever. But rushing through the hiring process can backfire—leading to accidents, lawsuits, FMCSA violations, and even damage to your company’s reputation.

At Wise Insurance Agency, we’ve worked with hundreds of motor carriers across Massachusetts and beyond. We know that your business depends on the people behind the wheel. Here’s a smart, compliant, and safety-focused approach to hiring commercial drivers.

Step 1: Know What You’re Looking For

Before you even post the job, define your vehicle types, routes, and driver expectations. Create a clear job description outlining duties, qualifications, and required experience. Consistency in your hiring process reduces bias and protects you from discrimination claims.

Step 2: Follow FMCSA Hiring Requirements

Per FMCSA regulations (49 CFR 391), all motor carriers must ensure drivers meet the following minimum qualifications:

✔️ At least 21 years old for interstate driving
✔️ Hold a valid CDL with necessary endorsements
✔️ Be medically certified to operate a CMV
✔️ Fluent in English to understand traffic signs and complete logs
✔️ Not disqualified under §391.15

Compliance isn’t just good practice—it’s federal law. Make sure all documentation is collected and reviewed before putting a driver on the road.

Step 3: Run a Full Background Check

Thorough screening is non-negotiable. At minimum, verify:

  • Motor Vehicle Record (MVR): Review at least the past 3 years

  • Previous Employment Verification: Speak with prior employers to confirm safety and reliability

  • Drug & Alcohol Clearinghouse Query: Ensure the driver has no unresolved violations

  • Medical Certificate: Confirm the driver meets medical standards

Use FMCSA’s Pre-Employment Screening Program (PSP) for additional insight into the driver’s crash and inspection history. Consider a criminal background check if permitted in your state.

💡 Tip: Use a Driver Qualification File (DQF) checklist to keep your documentation organized and complete.

Step 4: Conduct a Proper Interview

Meet your top candidates face-to-face. Ask real-world safety-related questions:

  • “What do you do if a customer changes the delivery address mid-route?”

  • “How do you handle extreme weather while hauling?”

Be transparent about your company’s safety standards and expectations. A strong safety culture starts at the first interview.

Step 5: Test Their Skills

Before hiring, administer a road test or obtain equivalent documentation from a previous employer. Per §391.31, this test helps ensure the driver is capable of handling your specific equipment safely.

Step 6: Pre-Employment Drug Test

This is mandatory for all CDL drivers under §382.301. A driver cannot legally operate a commercial vehicle until they’ve passed a DOT drug test with a negative result.

Step 7: Choose Carefully—It’s Worth It

Even if you’re short on drivers, avoid skipping steps. Hiring a driver with a questionable safety record or poor driving history can lead to:

🚫 Costly lawsuits
🚫 DOT audits or fines
🚫 Insurance claims and higher premiums
🚫 Reputational damage
